Rex Sailing ('we', 'our') is committed to protecting the privacy of our guests, travel advisors, and Season Letter subscribers. This policy explains what information we collect, why we collect it, and how we keep it safe. It applies to rexsailing.com and any Rex Sailing charter enquiry received through the site, WhatsApp, email, or our partners.

1. Who we are

Rex Sailing operates private crewed yacht charters from Antigua and Barbuda, on the vessels Cap II and Flying Wing. We are the data controller for the personal information described in this policy.

2. Information we collect

We collect only the information needed to respond to a charter enquiry, confirm a booking, or send the Season Letter.

  • Name, email address, phone number, and messaging preferences you submit through the contact form.
  • Charter preferences you share: preferred yacht, group size, dates, and special requests (e.g. dietary).
  • Email address only, when you subscribe to the Season Letter.
  • Basic technical information (IP address, browser type, pages visited) collected by standard analytics — used in aggregate only.

3. Why we use it

We use your information to respond to your enquiry, arrange your charter, and keep you informed about the vessel, itinerary, and any logistics relating to your booking. If you subscribe to the Season Letter, we use your email address solely to send that letter when the next season's calendar opens (typically twice a year).

We do not sell, rent, or share personal information for marketing purposes.

4. Legal basis (for EU / UK guests)

Where GDPR or UK GDPR applies, we process personal information on the following bases:

  • Contract: to respond to a charter enquiry and deliver a booked charter.
  • Consent: for the Season Letter (you may unsubscribe at any time).
  • Legitimate interests: to operate and improve the website in a manner you would reasonably expect.
  • Legal obligation: where we must keep booking records for tax, insurance, or maritime regulation.

5. Who we share with

We share personal information only with trusted third parties necessary to deliver your charter or operate the site:

  • Our crew and shoreside team for itinerary planning, provisioning, and guest welcome.
  • Hotel or resort concierges where you are staying, only if you have asked us to coordinate with them.
  • Travel advisors who introduced the booking, where applicable.
  • Service providers (email delivery, hosting, form storage) under confidentiality obligations.
  • Payment processors, where a deposit is required — we never store card numbers on our systems.

6. International transfers

Our hosting, email, and analytics providers may process data in the United States and within the European Economic Area. When we transfer personal information outside your country of residence, we rely on appropriate safeguards such as Standard Contractual Clauses.

7. How long we keep it

Enquiry and booking records are retained for up to seven years to comply with tax, insurance, and maritime obligations. Season Letter subscriber emails are kept until you unsubscribe.

8. Your rights

Depending on your jurisdiction, you may have the right to access, correct, export, or delete personal information we hold about you, to object to or restrict certain processing, and to withdraw consent at any time.

To exercise any of these rights, write to dispatch@rexsailing.com. We will respond within 30 days.

9. Cookies

Our site uses a small number of essential cookies (for language preference and session handling) and analytics cookies to understand how visitors use the site. Analytics cookies can be declined without affecting browsing. We do not use advertising cookies.

10. Children

Our services are for adults. We do not knowingly collect personal information from anyone under 16. If a parent or guardian believes a child has submitted information, please contact us and we will delete it.

11. Changes to this policy

We may update this policy when our practices change. The 'Last updated' date at the top of the page reflects the most recent revision. Material changes affecting Season Letter subscribers will also be sent by email.
